Safety & Compliance 

Reports to  Senior Manager of Westmoreland Transportation Inc. 

As part of the Transportation team, members are responsible for supporting the goal by ensuring loads are delivered to our customers on time and in the most cost-efficient manner by utilizing company trucks. 

Responsibilities: 

As Safety & Compliance, you will be responsible to ensure drivers HOS are compliant; while working under the direction of the Senior Manager to ensure all drivers and company authority remain compliant to Ministry rules and regulations. 

 

Log Auditing Tasks: 

Oversee HOS and logs and ensure they are reviewed daily and any potential violations are addressed in a timely manner 

  • Check that drivers’ logs are complete with all the necessary information:

    • Truck # and license plate 

    • Odometer is correct and accurate with previous ending 

    • Date & locations are correct 

    • Driver’s name & signature are filled in 

    • Total hours are marked 

    • Pretrips are completed every 24 hours 

  • Enter Driver’s logs into J.J. Keller’s “Encompass” and Vehicle Management Database - logs must be handed in by driver on a weekly basis…with all logs for the month handed in by the 15th of the following month 

  • Relay necessary information in way of newsletters or quizzes to the drivers when laws or legislation is amended 

  • Balance the information entered in J.J. Keller’s “Encompass” with all supporting documents for accuracy – bridge crossing, toll receipts, fuel stops & receipts, time stamps on Bill of Ladings, maintenance records 

  • Use the information from the Willson ACE manifest program to match the times spent at the border with the logs for accuracy 

  • Use the daily Famous print out to check for load accuracy…especially when changes are made with drivers/loads after hours 

  • Use the weekly fuel statements and Toll Bridge statements to match with receipts handed in by drivers 

  • Keep copies of all lumper receipts required to match logs 

  • If KM’s are missing, check Trip Reports for discrepancy 

  • Enter kilometers per truck as recorded on Trip Reports (as per SOP) completed by drivers into J.J. Keller’s “Encompass”, ensure no kilometers are missing 

  • If kilometers are missing, check driver’s logs – including those of the yard drivers 

  • Match up fuel receipts handed in with Trip Reports to the statements received from Petro Pass, BVD or Johnny’s Gas Bar 

  • Enter fuel purchases for each unit - enter liter/gallon purchases in corresponding province/state as Fuel 1 in J.J. Keller’s “Encompass” 

HOS Compliance 

Staying on top of changes to HOS regulations and communicate concerns of any changes to Transportation team … remaining current on all legislation on both sides of the border 

  • Communicate and meet with each driver monthly to discuss any issues, correct any violations and sign off for each completed month 

  • Notify Dispatcher when a driver cannot be dispatched until he corrects issues/violations 

  • Reconcile all entered trip info against all documents received to ensure accuracy and the there is no missing info. Provide reconciled Trip Info Report (as per SOP) to Transportation Manager by the 15th of each month.

In this position, it is expected of you to support all transportation staff members and be prepared to cover should the need arise.
