Operations Office Support
Reports to Business Analytics Manager
In support of Operations Administrative Assistant, the Operations Office Support is responsible for a wide variety of administrative duties. Its role is to ensure smooth procedures in our office, contribute to driving sustainable growth, and maintain confidentiality and professional interactions with employees and management. Other duties shall be assigned as necessary. The Operations Office Support will be required to both take direction and work intuitively to support the completion of the department's goals and objectives in a professionally and culturally appropriate manner.
Duties and Responsibilities:

Coordinate office activities and operations to secure efficiency and compliance with the company policies

Coordinates and completes significant special projects independently or in cooperation with other groups as directed by the Manager and Operations Administrative Assistant, or designate

Providing administrative support to other departments

Generate P.O.s for local and import growers, monitor inbound loads, and enter inbound freights
-
Submit timely reports and prepare presentations/proposals as assigned

Maintain and update incoming P.O.s and Daily Receipts databases

Monitoring and encoding contract or market price on each entry on each line item
-
Ensuring that P.O. prices, invoices, confirmation of sale, and inspection certificates are up to date
-
Uploading of manifest, B.O.L, and inspection certificate to the server

Checking and updating Quality Report Cumulative database

Sending quality reports and failed inspection certificates to the growers
-
Organizes, prioritizes, assembles, and formats quality reports and other documents, to make them consistent, accurate, and valuable before sending them to the vendors
-
Maintains hard and electronic copy filing systems and ensures efficient document storage and retrieval

Obtains data, queries anomalies, and prepares reports in support of the department

Provides backup for colleagues in the department as required

Maintains adequate office supplies used within the department

Ensures the safeguarding of all confidential files
Qualifications and Skills
-
Knowledge of Microsoft Excel and Famous Software and experience in the produce industry are assets
-
Computer and data entry experience with a high level of accuracy

Proven organizational, time management, analytical and problem-solving skills
-
Ability to handle multiple tasks with attention to fine details
-
Willingness to work independently with minimal supervision and take ownership of the job
-
Ability to work Saturdays and Holidays
